Circulation Information

Borrowing

Borrowing Privileges

University Affiliates

Library privileges are automatically extended to all registered University of Wyoming students, appointed or emeritus faculty, and permanent staff with a valid WyoOne card. Privileges include:

  • Access to all University Libraries materials; borrowing of all circulating University Libraries items
  • Access to Prospector
  • Access to Request It
  • Access to electronic subscriptions and databases
University Alumni

Library privileges are extended to all members of the University of Wyoming Alumni Association with the presentation of an Alumni Association card and a photo ID at any University Libraries Circulation Desk.

Through the association, alumni are granted access to all University Libraries materials within the libraries, have borrowing privileges of all circulating items and receive off-campus access to numerous Libraries databases through the WyoAlumni website.

Non-University Affiliates

Community and courtesy library cards are available by request at any library circulation desk and provide borrowing privileges (excluding Prospector or Request It services) to:

  • Wyoming residents and spouses/dependents of University of Wyoming affiliates with a Wyoming driver's license, a WyoOne campus ID card, or a government issued photo ID and proof of residency. Residents under 18 years of age must have a signed parental permission form on file. Registration must be updated annually.
  • Wyoming corporations with a written request on company letterhead. The letter should designate linked patrons (proxies), who will be issued library cards upon presentation of a Wyoming driver's license or other form of government issued photo ID. Registration must be updated annually.
  • Campus workshop participants with authorization from the workshop coordinator, a parental permission form if under 18, and a photo ID. Registration is limited to the term of the workshop.
  • Faculty, staff and students from the Colorado State University and the University of Northern Colorado with the presentation of a campus identification card and a photo ID at the Coe Library Circulation Help. Cards must be validated every semester at a University of Wyoming Libraries circulation desk.
  • Faculty affiliated with the OCLC Reciprocal Faculty Borrowing Program(ORFBP) with a ORFBP card from his/her home institution and a current photo ID. Cards must be validated every semester at a UW Libraries circulation desk.
  • Non-Wyoming residents and corporations. A $10 annual fee includes borrowing privileges of all circulating UW Libraries materials.

Linked Patrons

Any library borrower may authorize a representative to check out materials on his or her behalf by completing and signing a Linked Patron Permission Form. Each account owner assumes responsibility for all library transactions made by his or her representative. Under the Linked Patron service:

  • Two borrower accounts will be linked together; these account owners are the only representatives who can check out and renew library materials on behalf of the other.
  • Both borrowers' accounts must be in good standing in order to transact library business for the other.
  • Information regarding a borrower's account will not be shared with his or her representative unless it regards a library transaction made by the representative.

Loan Periods & Borrowing Limits

Loan periods and maximum numbers of items that may be checked out at one time vary by type of material and type of borrower. The Libraries reserve the right to recall items needed for course reserves, which shortens loan periods to one week before it must be returned.

Materials That Can Be Borrowed

All library materials may be borrowed except current periodicals, newspapers, reference books and microforms. These items are library use only.

Materials in the Emmett Chisum Special Collections, the Rocky Mountain Herbarium collection and the Jackson Research Center must be used at those facilities.

Renewals

Renewals may be made at any University of Wyoming Libraries Circulation Desk, online (Online Renewal Form), over the phone, or through My Accounts. Overdue materials may be renewed in person, over the phone or online.

Items which are not authorized for renewal or that have reached their renewal limits must be returned or physically brought to a Libraries circulation desk to be re-checked out.

Returns

Return checked out library materials to any circulation desk or book drop on or before the due date.

Receipts for returned items are available upon request at any Circulation Desk.

To avoid damage, Media items, Interlibrary Loans, Prospector loans, and fragile materials should not be placed in outside book drops.

Requesting

Hold Requests

Hold Requests may be placed on any item that is currently checked out, except for reserves and library use only items. Holds may be picked up at any circulation desk. When the item is returned, the library will notify you that the item is available at your selected circulation desk where it will be held for seven days. To place a hold:

  • Stop by any Libraries circulation desk
  • Request item electronically through the Login + Accounts

University students, faculty and staff may also request the item through Prospector or Request It.

Users not affiliated with the university may request items from their local public library's interlibrary loan service.

Prospector

Prospector is a service that allows University students, faculty and staff to request books, media, journals/articles and other items from over 40 libraries in Colorado. Available requests are processed and shipped to the Libraries within 3-7 business days.

To use Prospector:

  • You must have an active University of Wyoming Libraries account
  • You must have a WyoWeb username and password or a W#

Loan periods and renewals vary by item type: 3 week loans can be renewed for one additional 3 week period; 1 week loans cannot be renewed.

Request It

University students, faculty and staff can request books, journal volumes, journal articles and other materials, whether available in University of Wyoming Libraries, the University of Wyoming Law Library, online, or in other libraries. Items from campus collections are delivered within 36 hours; items from other libraries may take two weeks. To use Request It:

  • You must have an active University of Wyoming Libraries account
  • You must set up a Request It account using your WyoWeb username and password
  • You must select a preferred pick up location for the delivery of materials

Loan periods and renewals for Interlibrary Loan items are determined by the lending library.

Requests for Retrieval

Patrons with disabilities or injuries may visit or call any of the Libraries circulation desks to request retrieval of titles for pickup at any campus library. Items will be held up to 7 days for borrower pickup. Please contact:

University students, faculty and staff may request retrieval of materials and arrange for pickup at any library location through Request It.

Services

Copying and Scanning

Course Reserves

Faculty may place books, media, excerpts from books and copies of journal articles on reserve at the Coe Library Circulation Help Desk, the Coe Library Media Desk and the Brinkerhoff Geology Library. Requests may also be submitted online using the Reserve Request Form.

Faculty members may request that materials be placed on reserve in the library or scanned and made available electronically through the libraries website.

Course reserve lists are accessed through the Libraries catalog at http://uwcatalog.uwyo.edu/search/p. (Search by instructor, department or course).

Lost & Found

Each library's circulation desk is the initial repository for lost and found items. Please make inquiries in person or over the phone.

Items that are found in the library should be turned in to the circulation desk where they will be logged and secured in the Lost and Found.

To claim an item from the Lost and Found the owner must provide an accurate description of the item and present his/her WyoOne Campus ID or a state/federal photo ID card.

Unclaimed WyoOne cards are forwarded to the Campus ID Office. All other Lost and Found items are transferred to the University of Wyoming Police Department, 1426 E. Flint or (307) 766-5179, on a weekly basis.

The University of Wyoming Libraries are not responsible for unattended personal items left in any library.

Login + Accounts

Click "Login + Accounts" to access the following information:

  • Items checked out to your main library account
  • Outstanding hold requests
  • Outstanding fees
  • Link to your Request It account to view Interlibrary Loan requests and checked out items

Use Login + Accounts to renew items that have not gone overdue or reached their renewal limits.

Searches

If the Libraries catalog indicates an item is "Available" but it is not on the shelf, ask at a circulation desk for a search. If the item is found, the Libraries will notify you by email and the item will be held for you.

Once you have asked for a search, you may also request the item through Prospector or Request It (if you are a UW student, faculty or staff).

If the item cannot be found after multiple searches, the item's Catalog status will be changed to lost and library staff will review the item for possible replacement.

Circulation Policies

Borrower's Agreement/Responsibilities

Borrowing any materials from the University of Wyoming Libraries constitutes agreement by the borrower to abide by its rules and regulations.

  • Borrowers must present a library card to check out materials.
  • Borrowers are responsible for all materials checked out to his/her account and any fees or damages incurred.
  • Library cards are not transferable.
  • Email is our default communication method unless you specify regular mail. University borrowers must use their university email account; other borrowers must use any email address or a current mailing address
  • Report a lost or stolen WyoOne card immediately to the WyoOne ID Office (307-766-5267 or 307-766-5268) and the Coe Library Circulation Help Desk (email libcirc@uwyo.edu or 307-766-3190).

Damaged Items

The University of Wyoming Libraries charge fees for damages incurred to library materials while borrowed. When a damaged item is returned, it is assessed and billed for either a repair fee or a full replacement, depending on the extent of the damage.

Once your account has been assessed with damaged item fees:

  • Your borrowing privileges are suspended until the bill has been paid in full
  • Assessment bills are mailed to the borrower and to the campus Accounts Receivable Office (Knight Hall, Room 250, 1-800-370-3188 or 307-766-6232). Bill payments may be made at the Cashier's Office (Knight Hall Room 170) or may be mailed to either Accounts Receivable or the Cashier's Office
  • Full replacement billing includes the cost of the item, a $20 processing fee, and a $5 billing fee
  • Fees for repairs vary and include a $5 billing fee

If you believe that you have been billed mistakenly, contact the appropriate circulation desk.

Replacement copies of damaged items may be considered. Processing fees are still assessed against replacement items.

Damaged items are held at their home library for 28 days before they are withdrawn or repaired. Borrowers may request to keep an item that has been assessed as a withdrawal by contacting the appropriate damaged billing supervisor within the 28 day period. Items determined to be damaged with biohazardous substances may not be kept by the borrower and will be disposed of by the Libraries. Borrowers must pay all replacement fees before a damaged item can be claimed.

Borrowers may not request to keep or claim Popular Reading, Prospector, Interlibrary Loan or Media items.

Honors Students

Students majoring in the Honors program are extended full borrowing privileges from the University of Wyoming Libraries including:

  • A semester loan period with 2 renewals for library books and digital materials.
  • 250 checked out items at one time.

Library Use Only

Due dates for items borrowed through Interlibrary Loan and Prospector are set by the lending libraries. Failure to adhere to these due dates jeopardizes the University Libraries ability to borrow items from these libraries for all library users.

To protect University of Wyoming borrowing agreements with other libraries the following restrictions will be enforced:

  • Borrowers that do not return materials when they are due will be billed for replacement and associated costs.
  • Repeated billing for overdue Prospector and Interlibrary Loan items will result in the restriction of future loans from these services to Library Use Only, or in the case of Outreach students, loans will be restricted to two items at a time. These restrictions will last until the end of the following semester.
  • Two Library Use Only semesters within a two-year period will result in the permanent restriction of Library Use Only on all future loans from other libraries.

Overdue, Lost and Long Overdue Items

The University of Wyoming Libraries do not charge hourly or daily fines for overdue materials.

However, borrowing privileges are suspended until overdue materials are returned or renewed, and all fees are paid.

  • Items with a 28 day or longer checkout will be billed when they are overdue 28 days; items with a checkout of less than 28 days will be billed when they are overdue 14 days.
  • Laptop computers, iPads, and Study Room keys are billed the day after the due date.
  • Billing includes the replacement cost, a $20 processing fee and a non-refundable billing fee of $5 per item.
  • Replacement bills are mailed to the borrower and to the campus Accounts Receivable Office (Knight Hall, Room 250, 1-800-370-3188 or 307-766-6232, email). Bill payments may be made at the Cashier's Office (Knight Hall Room 170) or may be mailed to either Accounts Receivable or Cashier's Office.
  • If you return a long overdue billed item, replacement and processing fees will be waived. You will still be expected to pay the non-refundable billing fee of $5 per item.
  • If you believe that you have been billed mistakenly, contact the appropriate circulation desk. If items you claim to have returned are not found in the library collections, you will be held responsible for their replacement.
  • Overdue notices are a courtesy. Failure to receive these notices does not relieve you of the obligation to return material by the due date, nor does it constitute grounds for reducing any assessed fees.

Replacement copies of long overdue and lost items may be considered.

Patron Privacy

State privacy law (Wyo. Statute 16-4-203 (d)(ix) 1977) prohibits University of Wyoming staff from divulging patron circulation and registration records except through legal process, order or subpoena through the Dean of the Libraries.

Replacement Copies

In some cases, replacement copies are accepted for long overdue, lost, and damaged items.

Please contact the Billing Supervisor at the appropriate library prior to purchasing a replacement copy to determine if one will be considered.

Purchasing a replacement copy comes with some risk. An item may be declined as a replacement for a variety of reasons, even in cases where the guidelines outlined below have been met.

A replacement copy will be considered when it meets the following criteria:

  • Must be the exact copy indicated by the Billing Supervisor (ISBN number, edition, and publication information will be provided)
  • Copy must be new or in like-new condition
  • Copy must be free of markings, notations, stains, tears, loose bindings and other signs of use or damage

The following will not be accepted as replacement copies:

  • Items in less than like-new condition
  • Replacements for DVDs and VHS tapes
  • Replacements for Interlibrary Loan Materials
  • Discarded or withdrawn materials from other libraries
  • Prepublication copies and proofs
  • Copies and editions that do not match information provided by the Billing Supervisor

Processing and billing fees are still assessed against replacement copies.

Please note: Damaged items are held at their home library for 28 days before they are withdrawn or repaired. Borrowers may request to keep an item that has been assessed as a withdrawal by contacting the appropriate damaged billing supervisor within the 28 day period. Items determined to be damaged with biohazardous substances may not be kept by the borrower and will be disposed of by the Libraries. Borrowers must pay all replacement fees or provide an acceptable replacement and pay associated fees before a damaged item can be claimed.

Borrowers may not request to keep or claim Popular Reading, Prospector, Interlibrary Loan or Media items.

Security System Violations

The Libraries have installed electronic security systems at the entrance/exit to ensure that materials may not leave the building unless checked out. If the alarm sounds:

  • Return to the circulation desk.
  • Allow circulation staff to desensitize all library, bookstore and media items to prevent the alarm from sounding again.

If non-circulating materials, e.g., reference items or current journals are found, a report will be filed with the Student Affairs Office and University of Wyoming Police Department.

Account Suspension

The University of Wyoming Libraries reserve the right to suspend borrowing privileges for any borrower who disregards library policies or whose library account is not in good standing. This may also include the suspension of minor accounts when the responsible parent/guardian's own account is not in good standing. A suspension of privileges may result from, but is not limited to, excessive overdues or long overdue billing, failure to adhere to due dates on time sensitive items and materials borrowed from other libraries, and disregard for library policies and procedures.

Material returned by mail should be insured and sent by services that provide tracking, (e.g., UPS, FedEx). Materials are not considered returned until received and checked in at one of the University of Wyoming Libraries.
