Borrowing

UW Affiliates

Library privileges (including borrowing, Prospector and Request It) are automatically extended to all registered University of Wyoming students, appointed or emeritus faculty, and permanent staff with a valid WyoOne card.

Non-UW Affiliates

Community and courtesy library cards provide borrowing privileges (excluding Prospector or Request It services) and are available by request at any library circulation desk to:

  • Wyoming residents, and spouses/dependents of UW patrons with a Wyoming driver’s license or picture ID showing proof of residency. Residents under 18 years of age must have a signed parental permission form on file. Registration must be updated annually.
  • Wyoming corporations with a written request on company letterhead. The letter should designate proxies, who will be issued library cards upon presentation of a Wyoming driver’s license or other form of photo identification. Registration must be updated annually.
  • Members of the UW Alumni Association with an Alumni Association card and a photo ID. Registration must be updated annually.
  • Campus workshop participants with a permission form, authorization from workshop faculty and a photo ID. Registration is limited to the term of the workshop.
  • Faculty from Colorado State University, University of Northern Colorado or any other institution with reciprocal borrowing privileges must present their library card and, if it is not a photo ID, a photo ID at the Coe Library Circulation Desk. Cards must be validated every semester at any circulation desk.
  • Faculty affiliated with the OCLC Reciprocal Faculty Borrowing Program(ORFBP) with a ORFBP card from their home institution and a current photo ID. Cards must be validated every semester at any circulation desk
  • Non-Wyoming residents and corporations. A $10 annual fee includes borrowing privileges, but not Request It or Prospector services.

Borrower's Responsibilities

Borrowing any materials from the UW Libraries constitutes agreement by the borrower to abide by its rules and regulations.

  • You must bring your library card to check out materials.
  • Email is our default communication method unless you specify regular mail. UW borrowers must use their UW email account; other borrowers must have a current mailing address
  • You are responsible for all materials checked out and any fees or damages incurred.
  • Library cards are not transferable.
  • Report a lost or stolen WyoOne card immediately to the WyoOne ID Office (307-766-5267 or 307-766-5268) and the Coe Library Circulation Desk (email libcirc@uwyo.edu or 307-766-3190).

Course Reserves

  • Faculty may place books, media, excerpts from books and copies of journal articles on reserve at the Coe Library, Brinkerhoff Geology Library or the Learning Resources Center circulation desks or through Reserve Request Form.
  • Faculty members may also request materials be scanned and made available through electronic reserves

Group Study Rooms

  • The University Libraries have group study rooms available for use by UW students, faculty, and staff.
    • Coe Library: two rooms on Level 2 (main), each with a conference table, PC, large screen monitor, and white board and two rooms on Level 5, each with a conference table and white board. Additional rooms will become available as renovation of the building proceeds.
    • The Library Annex: six rooms, four with a small table and chalk board and two large rooms, each with a conference table.
  • Reservations and policies

Holds

Holds may be placed on any item that is currently checked out, except for reserves, videos and non-circulating items. When the item is returned, the library will notify you that the item is available at the circulation desk where it will be held for seven days. To place a hold, stop by any of the Libraries' circulation desks or request items electronically through My Library Accounts.

If you do not want to wait until an item is returned:

  • UW students, faculty and staff may request the item through Prospector or Request It.
  • Users not affiliated with UW may borrow the item from their local public library's interlibrary loan service.

Honors Students

Students majoring in the honors program are extended full borrowing privileges from the University of Wyoming libraries including a 1 semester loan period with 2 renewals for library books and digital materials. Honors students may also borrow up to 250 items at one time. See Circulation Policies: Loan Periods & Borrowing Limits for more information.

Linked Patrons

Any library borrower may authorize a representative to check out materials on his or her behalf by completing and signing a Linked Patron Permission Form. Each account owner assumes responsibility for all library transactions made by his or her representative. Under the Linked Patron service:

  • Two borrower accounts will be linked together; these account owners are the only representatives who can check out and renew library materials on behalf of the other.
  • Information regarding a borrower’s account will not be shared with his or her representative unless it regards a library transaction made by the representative.
  • Both borrowers must be in good standing in order to transact library business for the other.

Loan Periods & Borrowing Limits

Loan periods and maximum numbers of items that may be checked out at one time vary by type of material and type of borrower. The Libraries reserve the right to recall items needed for course reserves, which shortens loan periods to one week before it must be returned.

Materials That Can Be Borrowed

  • All library materials may be borrowed except current periodicals, newspapers, reference books and microforms.
  • Materials in the Grace Raymond Hebard collection and the Rocky Mountain Herbarium collection must be used at those facilities.

Overdue or Lost Items

The UW Libraries do not charge fines for late materials. They are assumed to be lost and are billed as lost in accordance with the University Fee Book:

  • Overdue notices are a courtesy. Failure to receive these notices does not relieve you of the obligation to return material by the due date, nor does it constitute grounds for reducing any assessed fees.
  • Your borrowing privileges are suspended until overdue materials are returned or renewed.
  • Items with a 28 day or longer checkout will be billed after they are overdue 28 days; and items with a less than 28 day checkout will be billed after they are overdue 14 days. Billing includes the replacement cost, a $20 processing fee and a non-refundable billing fee of $5 per item.
  • Replacement bills are mailed to the borrower and to the campus Accounts Receivable Office (Knight Hall, Room 250, 1-800-370-3188 or 307-766-6232, email). Bill payments may be made at the Cashier's Office (Knight Hall Room 170) or may be mailed to either Accounts Receivable or Cashier's Office.
  • If you return overdue items, replacement and processing fees will be waived. You will still be expected to pay the non-refundable billing fee of $5 per item.
  • If you believe that you have been billed incorrectly, contact the appropriate circulation desk. If items you claim to have returned are not found in the library collections, you will be held responsible for their replacement.

Patron Privacy

State privacy law (Wyo. Statute 16-4-203 (d)(ix) 1977) prohibits UW staff from divulging patron circulation and registration records except through legal process, order or subpoena through the Dean of the Libraries.

Prospector

  • UW students, faculty and staff can borrow books, media and periodical volumes from 23 Colorado libraries through Prospector.
  • If the item is available, it is sent to Coe Library within 2-4 days, not including weekends and holidays.
  • Reproductions of journal articles or book chapters are not available through Prospector; use Request It.
  • Prospector loan periods for books are three weeks with one renewal, for media 1 week with no renewal, and for bound journal volumes 1 week with no renewals.

Renewals are not possible if an item has been requested, if the material is not authorized for renewal, or if the item has already been renewed. Materials borrowed through Prospector or Request It have separate renewal policies.

Request It

UW students, faculty and staff can request books, journal volumes, journal articles and other materials, whether available in UW Libraries, online, or in other libraries. Items from campus collections are delivered within 36 hours; items from other libraries may take two weeks.

  • Users must establish a Request It account using their WyoWeb username and password; the account can be used to monitor the progress of your requests.
  • There is no charge for Request It.
  • Loan periods are determined by the lending library. If the library does not permit renewals that is noted on the wrapper.

Library Use Only

Due dates for items borrowed from other libraries through Interlibrary Loan and Prospector are set by the lending library. Failure to adhere to these due dates jeopardizes the UW Libraries’ ability to borrow items from these libraries for all of our library patrons. Consequently, the Libraries will treat other libraries’ due dates (and use restrictions) as our own.

  • Borrowers that do not return materials when they are due will be billed for replacement and associated costs.
  • Repeated billing for overdue Prospector and Interlibrary Loan items will result in the restriction of future loans from these services to Library Use Only. The Library Use Only restriction will last until the end of the following semester.
  • Two Library Use Only semesters within a two-year period will result in the permanent restriction of Library Use Only on all future loans from other libraries.

Requests for Retrieval

  • Any UW student, faculty or staff member may request retrieval of materials and arrange for pickup at any library location through Request It.
  • Items on hold will be held up to seven days for user pickup at your preferred circulation desk.
  • Patrons with disabilities may visit or call any of the Libraries' circulation desks to request retrieval of titles for pickup later.

Returns

Return borrowed material to any library circulation desk or book drop on or before the due date. Receipts for returned items are available upon request at any circulation desk. To avoid damage, DVDs and other media should not be put into book drops.

Returns by Mail

Material returned by mail should be insured and sent by services that provide tracking, (e.g., UPS, FedEx). Materials are not considered returned until received and checked in at a unit of the UW Libraries.

Searches

  • If the Libraries' Catalog indicates an item is "Available" but not on the shelf, ask at the circulation desk for a search. If the item is found, the Libraries will notify you by email and it will be held for you.
  • Once you have asked for a search, you may also request the item through Prospector or Request It (if you are a UW student, faculty or staff).
  • If the item cannot be found after mulhttp://prospector.coalliance.org/tiple searches, the item's Catalog status will be changed to lost and library staff will review the item for possible replacement.

Security System

The Libraries have installed electronic security systems to ensure that materials are checked out. If the alarm sounds, go to the circulation desk. If non-circulating materials, e.g., reference items or current journals are found, a report will be filed with the Student Affairs Office and UW Police Department.

My Library Accounts

Click “My Library Accounts” to view items checked out to your main library account as well as Interlibrary Loan items checked out to your Request It account. View holds, outstanding fees and send renewal requests by logging in.

Group Study Rooms

  • Two group study rooms are available for use by UW affiliates in Coe Library on Level 2, and six in the Library Annex.
  • Room reservations are for two hours at a time and may be made in person or by phone at the Coe or Annex circulation desks up to a week in advance.

Lost & Found

Each library's circulation desk is the initial repository for lost and found items. Items are turned over to the UW Police Department (1014 Ivinson Ave. or 307-766-5179) each week.

  • Copy machines are located on level 1 of Coe Library
  • Copies are $0.10 per page using WyoOne or temporary copy/print cards
  • Microfiche/microfilm printers ($.15 per page, cash only) and scanners (no charge) are located outside the Media Collection in Coe level 1
