Classroom/Consultation Room Use Policy

All reservations must conform to the General Policies for Coe Library Space (link). The classrooms and consultation rooms will be scheduled for use during regular reference desk hours. They will not be scheduled when the reference desk is not staffed, unless special arrangements are made with the department head.

The order of priority for classrooms and consultation rooms is as follows:

  1. Library instruction and other Reference & Instruction Services use
  2. UW Libraries departments and Coe Library occupants (LeaRN, Ellbogen Center for Teaching and Learning, Writing Center, Information Technology)
  3. Other UW departments and groups by special advance arrangement

Library Classrooms

The priority for classroom space in the Libraries is librarian-led instruction. There is no space available for recurring, non-library instruction. Scheduling will be restricted to library instruction during the first eight weeks of classes of Fall and Spring semesters.

UW-affiliates may schedule the classrooms on a space-available basis, but any group may be bumped if the space is needed for library instruction unless special arrangements have been made and approved by the Instruction and Assessment Librarian or Department Head.

Non-instructional meetings can be scheduled in the classrooms or consultation rooms when no appropriate conference/meeting rooms are available and no instructional activities are scheduled. The classrooms will be scheduled to match the actual technology needs of the event whenever possible.

Student groups may not reserve the classrooms in advance, but librarians may allow evening or weekend use when no study rooms are available during staffed reference desk hours. Non-university groups may not schedule the classrooms.

Coe 216 Electronic Classroom

Equipped with instructor terminal, Sympodium, two projectors and screens, 30 student terminals.

Used exclusively for classes or training that require computers for hands-on learning.

Food is not permitted. Beverage in a closed container is allowed.

Coe 218 Laptop Classroom

Equipped with instructor terminal, two projectors and screens, 25 laptop student terminals. Used primarily for classes or training that require computers for hands-on learning. Meetings will be accommodated when there are no suitable meeting rooms available. Food is not permitted. Beverage in a closed container is allowed.

  • If laptops are needed, time must be scheduled for set-up and breakdown.
  • Laptop set-up is the responsibility of the person/group scheduling the room.
  • Table and chair arrangement is the responsibility of the person/group scheduling the room.
  • Meetings will be accommodated when there are no suitable meeting rooms available.

Food is not permitted. Beverage in a closed container is allowed.

Reference Consultation Room

Priority for reference consultation room is librarian-led one-on-one and small group instruction. Non-library instructors may reserve the room for conferences with students, but may not rely on it for regular office hours. No materials or equipment may be stored in the room.

Libraries staff and faculty may use the room for meetings when no other suitable meeting space is available. Student groups may not reserve the consultation room in advance, but librarians may allow evening or weekend use when no study rooms are available during staffed reference desk hours (limit 2 hours per group). Non-university groups may not schedule the consultation room.
